Everything you need to know about open-calls, proposals and voting!

Welcome back, wonderfully creative minds of the HEK DAO community! Get ready to charge up your artistic spirit and make your mark. We've got several exciting open-calls coming your way. Good news: in this season of Friends of HEK we have expanded the decision making activities! On this page, you will find all you need to know about making your voice heard in this season of Friends of HEK, starting with a summary of this year's activities:
Starting on April 29th until May 13th, 2024, it’s your chance to propose dazzling artists, including yourselves, to craft a new visual identity for the Friends of HEK Token 2024, i.e. the face of the token.
The above image shows the Friends of HEK token with a placeholder image; this is what you will see in your wallet if you bought your token in ETH. The selected artist will create two to three artworks, and these will be voted on by the Friends of HEK members. The winning artwork will replace the placeholder image and represent the Friends of HEK for the entire season! More precise information about the open call and voting procedures can be found below.
In this season of Friends of HEK we want to experiment further by opening up member driven project proposals. Whether you want to invite a specific guest to give a talk, propose an exhibition or research project, it’s up to you! Ultimately, you will need to come up with a project proposal that is appropriate for the scope of the Friends of HEK 2024 season. What does this mean? Make it clear what resources would be needed, project timelines and have a focused idea. More information about the possibilities and limitations will follow closer to the open-call start. Keep in mind that the projects will be funded by the Friends of HEK 2024 treasury and will not be additionally funded by HEK.
Just like in the last season of Friends of HEK, you will be able to propose an exhibition on virtual.hek.ch! This could be a solo-show or group show, it’s completely up to you. The guidelines are very similar to the above described face of the Friends of HEK 2024 Token decision making activity. So, you can use this as a reference for now. In addition to the online show in HEK’s digital exhibition space, you will also be able to propose an artist featured either in the solo-show or group show to create an NFT edition. More information about HEK.editions can be found here.
In this season of Friends of HEK we want to experiment further by opening up member driven project proposals. Whether you want to invite a specific guest to give a talk, propose an online exhibition or research project, write an article, create a workshop, commission an artwork…it’s up to you! Ultimately, you will need to come up with a project proposal that is appropriate for the scope of the Friends of HEK 2024 season. What does this mean? Have a focused and achievable project idea. In the next section you will find the detailed guidelines on how to create a project proposal. Submitted proposals will then be voted on by the Friends of HEK community accordingly.

Project Proposal Guidelines
To ensure your proposal can be considered by the Friends of HEK community, please include the following points in your open call proposal. The open call will go live on 18. November 2024 and we will include a template version of the project submission, so it’s easy for you to structure.
Concept: Feel free to submit any project idea that you think aligns with the interests of the Friends of HEK community and is feasible within the project scope. Please include a brief, simple explanation (2-3 sentences) of your concept. The clearer you are, the easier it will be for the community to understand and decide whether they want to vote for your idea. If fitting, you can also include a project title.
Resources & Project Team: To bring your project to life, we can offer various resources, including space on HEK’s blog (share.hek.ch), access to our online exhibition platform (virtual.hek.ch), as well as the use of our Instagram and website. Explain what you will need to get your project running here. If you're planning to collaborate with individuals who are not members of Friends of HEK 2024, please provide their names and explain their roles in your project. You can also mention any artists you wish to collaborate with here.
Budget: The project will be funded by the Friends of HEK treasury with a budget of 1’500 CHF. Please provide a rough but realistic breakdown of the costs, e.g. artist honorary fees, graphic design fees, the cost of your own work, technical support, etc. Most importantly we need to be able to clearly understand that this project is feasible with the allocated funds. Please note that projects will not receive additional funding from HEK.
Timeline: Provide a clear timeline for the completion of your project, highlighting key milestones. Please note that the project should be finished within the first quarter of 2025. While we don't need every detail, please provide an overview of how you plan to achieve these milestones.
Links/References: Adding relevant links and visual materials like artworks, sketches, or prototypes helps everyone understand your project more.
Outcomes: Describe the outcomes you expect from the project and how you will measure its success. We are not asking for strict quantitative goals, but rather an emphasis on the qualitative aspects of the project. What do you hope to achieve, and how could the project benefit or engage the Friends of HEK community (and beyond)? Will you provide updates throughout the process, and how do you plan to share the final outcome? If relevant, please share your thoughts on the sustainability of the project beyond the initial funding.
-> Note: Quantitative goals refer to measurable aspects, such as numbers or data points (e.g., participants, views), while qualitative goals focus on experiences, feelings, or other non-numeric aspects (e.g., engagement, creativity)
Discord Forum: To submit a project proposal, check out the “Friends of HEK 2024 Decision Making” category in the Friends of HEK Discord; here you’ll find the submissions-open-projects forum. Posts made outside of this forum will not be voted on but you’re welcome to share your thoughts, resources and ideas in other channels.
Comprehensive Submissions: When submitting, please include the points outlined in the project proposal guideline rubric above. You can simply copy and paste the submission template within forum.
Submission Limits: Feel free to submit up to three project proposals per person.
Support
If you have any questions or uncertainties about the open call, feel free to ask in the Friends of HEK Discord. HEK’s Friends of HEK Team, Isabella and Ugo, will respond as soon as possible. If you’d prefer to reach out directly, you can contact us either via direct message on Discord or by email at friends@hek.ch. We’re happy to arrange group calls on Discord to address any open questions you may have. No question is too small or silly! 😊
You will notice that those who have purchased the token with fiat (regular currency) and who do not yet have an Ethereum-compatible wallet with their token in it, have a slightly different process for voting. If you want to take full ownership of your token but don’t yet have a wallet and want our help, you can book a 1:1 online session via email: friends@hek.ch with a member of HEK’s team (Ugo Pecoraio or Isabella Maund). If you’ve set up a wallet but don’t have your token yet send us your wallet address! We will airdrop/send it to you ASAP.
Once we make it past the proposal stage, it’s time to vote! We are keeping the voting period short (& sweet).
Who can vote: All Friends of HEK 2024 token-holders can cast their vote to decide on the final artist for the Face of HEK token.
What’s being voted on: Once the project proposal stage closes, the Friends of HEK admins will input the proposals into Snapshot. Snapshot is an “off-chain voting platform that allows DAOs, DeFi protocols, or NFT communities to vote easily and without gas fees.” Voting will start on the 10th of December for non-wallet holders and the 11th of December for wallet-holders in the Friends of HEK Discord within the channels defined below.
If you bought the HEK token with fiat (regular state-controlled currency e.g. Swiss Francs, Euros or US Dollars) online or in person at HEK, we have minted and are storing your token for you. This specific token is bound to your contact details, and you have access to Friends of HEK through your Discord username. You have the same benefits and privileges as token holders who have a crypto wallet, but the voting process looks slightly different.
Vote via StrawPoll: We will share a form via e-mail for all non-wallet holders. You will have the same selection as those who are voting via Snapshot. StrawPoll is a non-Big Tech alternative to platforms like Google Forms, offering a simple, independent tool for creating and sharing polls.
Type of voting: You can cast one vote to select your favorite artist proposal or split your vote amongst a multiple project! Simply select your preference in the form.
How your vote is cast: The voting period for non-wallet holders starts and closes one day earlier than those with wallets. So, from the 10th until 13th of December, it’s your chance to vote. This is because we are holding your token for you and will cast your votes for you with your token via Snapshot. This process takes a bit of time, so to ensure your vote is counted we need a day to add them.
If you purchased the HEK token through a crypto wallet, either with fiat currency or directly using cryptocurrency, the token is stored in your wallet. This token is tied to your wallet address, and you have access to Friends of HEK through your crypto wallet.
Head over to the "Friends of HEK 2024 Decision Making" category on Discord: There, you will find the channel named "vote-with-wallet," which will be viewable starting on December 10th, 2024.
Cast your vote with Snapshot: In the vote-with-wallet channel, you’ll see a notification from the Collab.land bot that a vote proposal has been created. Click ‘Proposal’ to be taken to the current voting proposal. Connect your wallet and sign the transaction to vote. (You can also click the ‘Space’ link to be taken HEK’s Snapshot space and from there view the current proposal).
Type of voting: Weighted voting is the approach that is being taken with this season of the Friends of HEK DAO. This is so that Friends of HEK members who do not yet have a crypto wallet can participate too. HEK is currently holding their tokens, so we will use a custodial wallet to cast their votes for them. It’s likely that not everyone will vote the same way, and weighted voting allows us to allocate these tokens to the relevant artist.
-> Note: Weighted voting does mean that theoretically you could split up your vote amongst many artist proposals; however, the more you split up your vote, the less impact it has on the final outcome. But ultimately, it’s up to you. That’s it, cast your vote!
Winner Selection: Starting the week of December 16th, HEK will contact the winning project individual/team. While we will announce the winner to the community, the result will also be visible directly in Snapshot. The selected project must be completed by the end of the first quarter of 2025 (March 31, 2025). As outlined in the section on Payment Terms, it may be appropriate to establish a contract to ensure clarity and comfort for both the winning individual or team and the Friends of HEK 2024 community.
Payment Terms: We will pay half of the budget (750 CHF) at the start of the project. Since this is funded by the Friends of HEK treasury, the payment will be made as an Ethereum transfer to the wallet of your choice. At the moment, 1,500 CHF is approximately 0.05 ETH, but we will adjust the ETH amount based on market fluctuations to ensure that the value in CHF remains at 1,500. The second half of the payment will be made after the realization of the project.
If your project is chosen, it is important that all collaborators, such as freelancers or companies you commission, are fully informed about the scope and budget.
Project Reveal: Once selected, your project will be showcased across our digital channels (Instagram, website, and newsletter). How it’s shared will depend on the nature of the project and will be handled on a case-by-case basis. HEK retains the right to use the project’s content for marketing purposes, but this does not affect the intellectual property rights of the project creator(s).
Ownership: While the Friends of HEK DAO owns the project, you are welcome to share, expand, or include the project in your personal portfolio, provided that the context of the project is clearly stated. This should be framed as: "Chosen and Funded by Friends of HEK 2024 in collaboration with HEK (House of Electronic Arts) Basel, Switzerland. © [Year] [Creator Name(s)] and Friends of HEK DAO. All rights reserved."
Specific details regarding ownership and usage will be addressed on a case-by-case basis. We are happy to assist with administrative processes (e.g., contract creation) once the project has been selected. For example, if the winning project involves an artist-commissioned NFT, we may establish a contract to outline copyright and ownership terms. Our aim is to keep things straightforward, but clear agreements will ensure everyone involved feels respected and understands the expectations.
Intellectual Property: The project winner (individual or group), along with any collaborators (such as artists, designers, or technical contributors), retain the intellectual property rights to the project. This means that you, as the creator, own the intellectual property, and HEK does not claim ownership of it.
Copyright Statement: Unless otherwise specified in an individual agreement, the copyright for the project is owned by the project individual or group and the Friends of HEK DAO. All rights are reserved. For any reuse, distribution, or derivative works, permission must be obtained from the copyright holder.
We hope this overview has cleared up some questions you may have had. Remember, this is all an experiment! Processes may need to change along the way, but let’s work together to make this happen.
We will keep you fully up to date in the Friends of HEK Discord channels and if you have any questions in the meantime, just reach out to us there or by email (friends@hek.ch)
